ADIS

The Registrar General's Directions for the Automated Deeds Indexing System (ADIS) have been prepared to assist clients with preparation, lodgment, examination and registration of deeds related to Old System land transactions, Bills of Sale, Powers of Attorney and other miscellaneous documents registered in the General Register of Deeds.

The Directions contain:
  • a short history of the registration of documents in NSW;
  •     
  • detailed information on the registration and indexing requirements for the majority of documents lodged in LPI NSW for registration in the General Registry of Deeds;
  •     
  • detailed information on the features common to a document; and
  •     
  • processing requirements and guidelines for indexing and searching.
They are designed to be a comprehensive guide but should not be taken as definitive.  All possible documents that may be lodged for registration may not be covered. Information deemed to be useful and not found in the manual should be referred to the Senior Examining Officer, Section 1, Registration Services Unit, for future inclusion (see below for contact details).

The Deeds Index (manual and computerised) enables searchers to locate registered documents that may affect land, people, companies or other bodies for a wide variety of commercial, legal and personal reasons. In particular, title to Old System land is best established by an unbroken chain of registered documents and it is critical that all links in the chain of title are lodged.

It should be noted that while certain rules exist for Deeds Index entries, the quality of the Index is largely the result of the information supplied and the indexer's skill, i.e. knowing what requires indexing and where to enter the data. Any queries about information:   

  • required for indexing purposes should be referred to the Senior Examining Officer, Section 1, Registration Services Unit;
  •     
  • held in the computerised Deeds Index should be referred to the Senior Examining Officer, Section 1, Registration Services Unit; and
  •     
  • held in the manual Deeds Index should be referred to the Supervisor, Manual Records, Basement 1.
Whilst a document must comply with the legislative and LPI NSW requirements for preparation and lodgment of a registration copy, the satisfaction of further legislative requirements as regards the intent or content of the original document rests for the most part with the lodging party.

Note:  In the Directions:    

  • information has been ordered alphabetically wherever possible;
  •     
  • the term “document” includes deeds, instruments and other documentation presented for registration, unless otherwise specified; and
  •     
  • the singular case includes the plural, except where otherwise stated.

To ensure continued relevance, the Directions are regularly updated to take into account procedural and legislative change.
